Your privacy is important to ScribeDoctor.com Protecting your privacy and the confidentiality of your personal information and the information that you provide to us in the carrying out of our day-to-day business activities, is fundamental to the way in which we do business.

1. Accountability

2. Identifying purposes

Only information that is required for us to provide transcription services for our clients is collected. Whenever a client provides information to ScribeDoctor.com, the client is consenting to the collection, use, and disclosure of that information in accordance with this Privacy Policy.

3. Consent

As you navigate through a Web site, certain information can be passively collected (that is, gathered without your actively providing the information) using various technologies and means, such as Internet Protocol addresses, cookies, Internet tags, and navigational data collection.

Patient identifiable information is only collected from clients with their permission and it is never collected passively.

A client may withdraw their consent for ScribeDoctor.com to collect personal identifiable information from themselves or their clients at any time by notifying the Privacy Officer in writing.

4. Limiting collection

The information that is collected is strictly limited to what ScribeDoctor.com needs to provide medical transcription services to our clients.

5. Limiting use, disclosure, and retention

Only those who “need to know” have access to patient sensitive information.  For transcribed documents, this included transcriptionists and quality control personnel, technical support personnel and selected operations personnel. The audio files are deleted after 90 days.

Transcribed documents are stored for a period of one year (or an alternative period of time if requested by the client). The data is then transferred to a CD which is stored in a secure location and erased from the system.

All data is backed up daily and a copy is stored securely off-site.

We follow the HIPAA guidelines.

6. Accuracy

We rely on our clients to provide us with accurate information. We do not perform any verification of patient identifiable information or other information as provided to us by our clients.

7. Safeguards

ScribeDoctor.com has contracts with third party providers to ensure that they also protect the privacy of the information collected and that it is only used for the purposes for which it has been collected.

All data is safeguarded with password protection on all computers, restricted access areas and locked doors and alarms where appropriate.

ScribeDoctor.com ensures that all workforce members are trained in and understand our security policies and procedures. In addition, all workforce members are trained how to identify, report, and prevent potential security incidents.

All those with access to patient identifiable information utilize anti-virus software on all computers that connect to the Internet and/or are network ed together.

ScribeDoctor.com ’s long term safeguards include regularly reviewing procedures, reminding contractors of policies on a regular basis, and regularly auditing policies and procedures.

8. Openness

All information collected is used only for the express purpose of providing medical transcription services to our clients.

9. Individual access

Customers may confirm the accuracy of the information that we have on them on file by contacting the Privacy Officer.

10. Challenging compliance

ScribeDoctor.com has a designated Security Officer, who can be contacted at [email protected] . All requests will be acknowledged within one business day of their receipt. Responses will be provided within 30 days. Within that period of time, the information will be released as requested or a written responses as to why the information is not being released will be provided.
